7 Tips for Safely Moving Your IT Operations

Moving a family can be hard, so imagine how much more difficult it is when you’re responsible for moving an entire office. Relocating people, furniture, equipment, documents, and more can be time-consuming and expensive. That’s why it’s vital to be thorough when choosing a commercial mover and monitoring the entire process.
With most companies, their data and IT operations can be the most valuable part of the organization.  What can you do to ensure a safe, successful IT business move?
Tip 1: Choose Movers with IT Moving Experience
Do not go for the very first moving company that provides an estimate, even if it is lower than you expected. Make sure you are looking for moving companies with experience in the IT industry. That means companies that specialize in moving office and IT equipment. Obtain no fewer than three estimates before hiring a moving company. This will allow you to determine the average cost and see who will offer the best overall value.
Tip 2: Move Backup Data Separately
Accidents can and do happen. No company is immune, even one that goes to great lengths to plan out the relocation from start to finish. Make sure your data is safe by moving backup data separately. This will reduce the impact of an accident should a server be dropped or broken en route. The main machine may be lost, but you will still have access the valuable data it contained so that your operation isn’t negatively impacted.
Tip 3: Draw Up a Floor Plan Before Moving the Business
Uncertainty creates chaos and anxiety – two things you do not want involved in your business move. Ease the stress put on your staff and the movers (and yourself!) by drawing up a floor plan before the move. This will be used to tell everyone where to go and where equipment and furniture should be setup. This will also allow you to ensure that your existing servers and equipment will fit where you want them to. Measurements should be taken before the move so that there are no surprises.
Tip 4: Perform Network Tests before the Move
To ensure a smooth start at your new location, make a point to perform network tests before you move. That means installing new infrastructure and testing it out on your network. Everything should be checked, including UPS units, routers, switches, and network cables. This will allow your system admin to correct any issues sooner rather than later when you’re trying to get things up and running as quickly as possible. 
Tip 5: Bundle and Organize Your Cables
Unorganized cables can be a huge headache after a server move. Streamline the setup process by organizing your cables beforehand. Untangle each length and secure the slack with zip ties. Also remember to place labels on the cables. You’ll be so glad you did when it’s time to reinstall everything at the new site!
Tip 6: Break Equipment Down into Small Pieces
It may be tempting to try and move an entire rack rather than dismantling it, but avoid the urge. Large, heavy items are much harder to move and more likely to experience a problem like a broken support or wheel. The safest route to take is to disassemble as much as you can so equipment is in small, manageable pieces. For complicated equipment, draw up a map and label all pieces so it’s easier to assemble once it’s delivered. This is also a great time to thoroughly clean everything before it’s brought into your new office.
Tip 7: Notify Your Equipment Vendors
Make sure your equipment vendors are aware that you are going to be moving. This will give them a head’s up in case you get to your destination and find that a vital piece of equipment isn’t working. If they are aware of the move, they will be better equipped to ship out new hardware as soon as possible, which can mean less downtime for your business.
